Frequently asked questions about the cost calculator

Does the calculator work in Excel and Google Sheets? +

Yes. The template is a standard .xlsx spreadsheet and works without changes in Excel, Google Sheets and most other spreadsheet programs. Formula cells are protected so you can't accidentally overwrite them; input cells are marked in yellow.

Does the cost calculator cost anything? +

No, the template is completely free to download. You just need to fill in your name, business email address, company name and industry.

Do I need to provide a credit card for OutSmart's free trial? +

No. You can try OutSmart free for 14 days, no credit card required. Downloading the calculator doesn't commit you to anything.

Which cost categories are included in the calculator? +

Materials, labour (based on your hourly rate) and other costs such as call-out fees and tool use. For construction projects there's also a section for subcontractors. Each line automatically calculates the sale price based on your purchase price and target margin, including VAT.

Can I adapt the template to my own business? +

Yes. On the 'Settings' tab you set your own default margin, VAT rates, hourly rate and call-out costs - these are automatically used across every other tab. There's also an empty, reusable 'Your own calculation' tab for future quotes.

What's the difference between this Excel template and the Calculations module in OutSmart? +

The Excel template uses the same calculation logic, but you enter purchase prices and margins yourself each time. The Calculations module in OutSmart does this automatically for every quote, with up-to-date purchase prices via the 2BA integration, and turns the result directly into a quote, work order and invoice.
