Schedule your team, track their hours, run the day — in one system

Workforce planning software for field service teams

Schedule technicians by availability, skills and location, and send every job straight to their app.

OutSmart plans jobs, not shifts. You drag work orders onto the right technician on the digital planning board, the technician sees the job in the app, and once the work is done the work order flows on to the invoice. The planning board is included from the Boost package.

Still planning in Excel? That’s possible, but the larger your team, the harder it becomes to stay organized. Our solution keeps your schedule up-to-date and accurate, giving you more time to focus on what truly matters.

What is workforce planning in field service?

Workforce planning is assigning jobs to your staff based on availability, skills and capacity, so every job is done on time by the right person. Workforce planning software does this in one digital overview instead of separate calendars, spreadsheets or WhatsApp.

In OutSmart you drag jobs to the right employee on the digital planning board, in day, week or month view. You see at a glance who is available, and the technician gets a push notification in the app as soon as something changes.

  • An active technician handles a median of 24 work orders per month.
  • From scheduled to completed takes a median of 2.9 days.
  • A work order represents a median of 2.25 hours of work.

Step by step

How to create a workforce plan for your field team in 5 steps

Workforce planning for field service is not about shifts but about jobs: which technician goes to which address, when, and with the right skills. This is how to set it up.

  1. Put all the work in one place
Collect every open job as a work order with customer, address, description and preferred date. In OutSmart, work orders that have not been scheduled yet sit in a separate list below the planning board, so nothing slips through the cracks.
  2. Record availability and absence
Set working days and hours for each technician, and add leave, training or sick days as a note on the planning board. OutSmart then shows for each day who is available and who is not.
  3. Match skills to the work
Record who has which skills. In OutSmart you link a skill to a type of work, and only technicians with that skill can be selected for it. Certificates with expiry dates are managed with the paid Certificates Power-Up.
  4. Schedule the jobs on the planning board
Drag work orders to the right technician and time slot in day, week, month or timeline view. When a crew goes to one job, assign several technicians to the same work order.
  5. Send the schedule to the app and adjust
Scheduled jobs appear in the technician's app straight away, with customer details and address. When an urgent job comes in, you move work on the board and the technician sees the change immediately. Once the job is done, hours and materials return to the office on the work order, ready for invoicing.

The digital planning board is available from the Boost package.

Field service workforce planning or rostering software: which do you need?

Workforce planning often brings shift rosters to mind. Scheduling technicians on jobs at customer sites is a different task. The difference, aspect by aspect:

AspectField service workforce planning (OutSmart)Rostering software
What you planJobs (work orders) at customer sitesShifts at a fixed location
Planning is based onAvailability, skills and the job addressOpening hours, staffing levels and contract hours
What the employee receivesThe job in the app: customer, address and job descriptionTheir roster: when they are due to work
After the workA work order with hours, materials and the customer's signatureHours worked, usually as input for payroll
From work to revenueThe work order becomes the invoice (invoicing from Boost)No customer invoice; the focus is on hours and pay
Typical usersInstallation, maintenance and service companies with technicians on the roadRetail, hospitality and care with changing shifts

If your team works shifts at one location, rostering software is the better fit. If your technicians travel to customers and you want to go from schedule to work order to invoice without retyping, you need field service workforce planning. That is what OutSmart is built for: planning board, app, work order and invoice in one system.

FAQ

Frequently asked questions

What is personnel scheduling?

A personnel schedule is a plan where staff availability, staffing needs, and organizational goals come together. Maintaining a healthy balance is crucial in this process. Employees need to be sufficiently billable, but they also require the space to implement innovations for the organization. A well-structured personnel schedule is essential for the progress of an organization.

What is personnel scheduling software?

Personnel scheduling software lets you plan who works when, track their hours, and assign tasks from one place — replacing spreadsheets and whiteboards. OutSmart adds mobile access so your field team sees their schedule and logs hours on site.

Why is personnel scheduling important?

Creating a good personnel schedule is essential for several reasons. On one hand, a well-structured schedule prevents understaffing and ensures optimal use of your workforce. On the other hand, it allows you to quickly identify when schedules are starting to fill up and when action needs to be taken. Both contribute to the success of your organization.

How is field service workforce planning different from rostering software?

Rostering software plans shifts: who works when at a fixed location, often with contract hours and pay rules. Field service workforce planning plans jobs: which technician goes to which customer and when, based on availability, skills and address. In OutSmart the job then appears as a work order in the technician's app, and once it is completed the work order becomes an invoice. If your team works shifts at one location, rostering software is the better fit.

Can I see which technicians are available?

Yes. You set working days and hours for each technician and add leave or absence as a note on the planning board. That shows for each day who is scheduled, who is free and who is away. Availability is a guide: you can still schedule an urgent job outside working hours.

How do I account for leave and absence?

Add leave, training or sick days as a note on the planning board, for a few hours or a full working day, and for several employees at once if needed. That way nobody gets scheduled while they are away. With the Timesheets Power-Up you can also record the absence with its own hour type in the timesheet overview.

Can I schedule several technicians or a crew on one job?

Yes. You assign several technicians to the same work order, or select a group as a crew. If one technician registers the work for everyone, the others see the job and only the lead technician records hours and materials. If everyone needs to log their own hours and materials, each technician gets a separate work order for the same job.

How do I fit breakdowns and urgent jobs into the schedule?

Create the breakdown as a work order and drag it straight to a technician on the planning board; the change appears in their app immediately. You can also set an urgent job up as an ad hoc job: technicians see nearby ad hoc work orders on the map in the app and can pick them up. Ad hoc planning works through the planning board, from the Boost package.

Can recurring maintenance be scheduled automatically?

Yes. For work that repeats on a fixed pattern, you give a work order a recurring schedule and OutSmart creates the full series straight away. For maintenance agreements you use Contracts & SLA: OutSmart then creates the work orders automatically, a set number of days before the due date, so you can schedule them on the planning board. Contracts & SLA is included from the Accelerate package and available as an add-on in Boost (up to 3 users).

How is overtime recorded?

With the Timesheets Power-Up (from Boost). You set the normal working week for each technician and create hour types, for example for overtime or travel time. Technicians log their hours in the app; the office approves or rejects them and exports them to Excel, for example for payroll.

Can I move my Excel schedule over to OutSmart?

Partly. You can import materials and, with object management, objects directly from an Excel file. The schedule itself is easiest to start fresh: add the open jobs for the coming weeks as work orders on the planning board.

How much does workforce planning cost with OutSmart?

Workforce planning in OutSmart runs on the digital planning board, which is included from the Boost package: €448 per year with 2 users included. Each additional user costs €224 per year. The Launch entry package (€180 per year, 1 user) does not include the planning board. Timesheets, PlanSmart route optimization and accounting integrations are paid Power-Ups. You can try OutSmart first with a free trial account, no credit card required.
