How to link a subcontractor
Introduction
In the field it is common to work with subcontractors. If these subcontractors are already working with the OutSmart software they can be linked to an account instead of adding them as new employees.
Detailed Explanation
Linking subcontractors is an option to make sure no double licenses need to be purchased to get work done. You can send or receive order applications through our system. The subcontractor will not have access to the data in the account of the main contractor. For instance a subcontractor has no access to the customer list of the main contractor.
Adding a main contractor
- Log into the OutSmart BackOffice account.
- Navigate to the Settings overview by clicking on the option in the bottom left corner.
- Search for the option Main contractors and click on the shown option.
- This will open the contractors overview. The first column is for adding the account to a main contractor. When a main contractor adds a subcontractor an email will be send to said subcontractor with a code. This code can be entered in this column to establish the link.
- Below the code field is an overview to which main contractors the account is linked.
- Lastly there is an option to automatically progress a work order. This means that when a order from a main contractor is completed it will automatically send back to the main contractor. If this option is switched off the order needs to be send to the main contractor manually.
Adding a subcontractor
- Log into the OutSmart BackOffice account.
- Navigate to the Settings overview by clicking on the option in the bottom left corner.
- Search for the option Main contractors and click on the shown option.
- This will open the contractors overview. the second column is for adding subcontractors to the account.
- The first option will allow an email to be send to the subcontractor that needs to be added. The email address must be the registered email address within the OutSmart account of the subcontractor. When this is added select Send invitation to send an email with a link code to the subcontractor.
- Below this option there is the overview with linked subcontractors and an option to disconnect them.
- Lastly there are three options to send certain information in a work order to a subcontractor. This means that you can choose to send materials, documents and/or images that are in the workorder to the order created for the subcontractor.
